Group Trip Planner: One Shared Itinerary for the Whole Crew

A group trip should be the fun part of the year, not a 400-message chat thread. RoamerPlanner gives your group one free, shared day-by-day itinerary: create the trip, share an invite link, and everyone sees the same flights, hotels, plans and checklists on their own phone.

Why group trips get messy (and how a shared itinerary fixes it)

Group plans usually live in five places at once: a chat thread, a few screenshots, somebody's spreadsheet and three different booking emails. Decisions get buried, times change and nobody is sure which version is current.

A shared itinerary gives the group a single source of truth. In RoamerPlanner, every plan sits on one vertical timeline, split into days and colour-coded by type — flight, accommodation, car rental, attraction, restaurant, shopping, note or checklist — so anyone can open the trip and see what happens next.

Invite your group with one link

Open your trip, tap Invite Collaborators and share the link in your group chat. Friends sign in with email or Google and join the trip — no app download needed, because RoamerPlanner runs in the browser and can be added to the home screen like an app.

Each member's avatar appears on the trip. The trip owner keeps control of the itinerary, while friends who join can view every plan and tick off their own personal checklist.

Everyone sees the same day-by-day plan

The whole group works from the same timeline. Flights show the airline, flight number, terminal, gate and seat; hotels show check-in and check-out times and the booking reference; restaurants and attractions can hold opening-hours notes, price notes, dress codes and a website link.

When plans change, drag a card to a new time or a different day and the group sees the updated order. Haven't agreed on dates yet? Build the trip as Day 1, Day 2, Day 3 and add exact dates once everyone has booked time off.

Personal checklists inside a shared trip

Add a packing list, a shopping list or a to-do list to the trip once — and in a shared trip, each traveller ticks off their own items. Your checked-off sunscreen doesn't tick off anyone else's, so one list works for the whole group without confusion.

Tips for planning a group trip

  • Agree on dates first. Share two or three date options, pick one, then create the trip — or start planning with undated days while you decide.
  • Split the roles. One person books the stay, another handles transport, someone else owns the food list. Add each booking to the shared timeline as soon as it's confirmed.
  • Make a “must-do” list. Ask everyone for one or two non-negotiables and add them as cards. Everything else is optional.
  • Leave free time. Groups move slower than solo travellers; leave gaps for rest, shopping or splitting up.
  • Keep documents with the plan. Attach tickets and vouchers to the activity they belong to so nobody has to forward a PDF at the gate.

Frequently asked questions

Is RoamerPlanner free for group trips?
Yes. Creating trips, adding activities, attaching files and inviting collaborators are free. Everyone who joins needs a free account so the trip is saved for them.
Do my friends need to download an app?
No. RoamerPlanner works in any modern browser on phones and laptops. On a phone they can add it to the home screen so it opens like an app.
Can each person keep their own packing list?
Yes. In shared trips, checklist ticks are personal, so each traveller sees their own progress on the same list.
Can RoamerPlanner split costs between friends?
Not yet. RoamerPlanner doesn't track budgets or split bills today, so use a dedicated expense app alongside your shared itinerary.
